Summary:
The Audition Coordinator for the School of Theatre & Dance assists in organizing and facilitating the recruiting and audition processes for prospective theatre and dance students, including communicating with prospective students regarding the admissions and audition processes, updating student records, and planning audition days.
As Administrative Assistant II for the School of Theatre and Dance they, also manage the day-to-day operation of the department; schedule appointments and meetings for the Director with other departmental faculty and staff and other academic and administrative units; manage student workers; monitor departmental financial transactions.
Primary
Responsibilities:
1.
Organize and facilitate the recruiting process for prospective theatre and dance students, including correspondence, scheduling, and facilitating administrative recruitment efforts.
2.
Plan and facilitate the pre-screening and audition/interview processes.
3.
Maintains Director's calendar of daily activities/appointments.
4.
Facilitates communications among Director, faculty, staff and students.
5.
Maintains departmental records, advisor assignments, course location charts, meeting minutes, email lists, contact information, etc.
6.
Maintains supplies, processes work orders, assists Financial Coordinator in processing invoices, check requests, credit card statements/receipts, monitors budgets, and facilitates marketing and recruiting initiatives.
7.
Supervises and manages payment for approximately 30 student workers in the following areas:
a.
Current students on audition dates for hosting parents and prospective students b.
Photography and videography for theatre archives c.
Script library maintenance d.
Archival storage for production and Alum information e.
Playbills and digital bios f.
Various other production and office tasks for department events 8.
Supervises student internships when appropriate.
Other Duties:
1.
Assists other College of Fine Arts staff and the Administrative Assistant to the CFA Dean in college and university-wide initiatives.
2.
Other duties as assigned.
Minimum Position
Qualifications:
High School Diploma One to three years' office experience; office management of medium-sized academic or professional unit preferred.
Proficient in Microsoft Office products and data entry programs Familiarity with basic office machinery maintenance Must possess good editing skills Excellent communication, written and organizational skills.
